RFI tracking and reporting on top of Aconex

Aconex records every mail. InterfacePass turns its mail register export into a register of RFIs that shows what is really open, and who must act.

What goes wrong when RFIs are tracked as mail

The mail system is the right place for the official record. It is a poor place to see status.

One RFI, many mail numbers

A request, its forwarding to a designer and each response all carry different transmittal numbers. The RFI itself is only in the subject line.

Responded is not resolved

A reply that asks for more information, or a holding reply, takes the RFI off the outstanding list.

Every party keeps a spreadsheet

Because the reports cannot show true status, each team tracks it by hand, and the versions disagree.

Mails with no recognisable reference are shown for you to settle, so nothing is silently dropped.

How it works

  1. Export the mail register

    From Aconex, export the register of RFI and response mails to Excel, as you already can.

  2. Upload it

    InterfacePass recognises the file on its own. There are no columns to map.

  3. Repeat each week

    Upload a fresh export. Closures, notes and meeting actions you recorded are kept.

What it does not do

  • It does not replace Aconex, and it sends nothing back to it.
  • It needs no connection to your Aconex instance during the pilot. You upload the export yourself.
  • It does not read the body of each mail or its attachments from the export, only what the register contains. You can paste the text of an RFI to have it summarised.
  • A direct connection through the Aconex programming interface is planned for the hosted release, subject to approval by your project.
